Write, send and sign a quote or agreement in myflow

Learn how to write, send and sign a single quote or agreement in myflow. Build the content, add recipients, enable signing, attach a workflow and delete a document.

Use this article to build and edit a quote or agreement in myflow: add content with the Page builder or closer, structure a contract for signing, add the people who need to sign, enable signing, attach a workflow, and delete a document.

When you open a quote or agreement in myflow, the edit page has three tabs.

  • Overview holds the document title, its content and the signing control.

  • Workflows is where you attach the automated email that carries the document link.

  • Recipients is where you add the people who sign.

Build your content with the Page builder

To build the content of a quote or agreement in myflow:

  1. In the left sidebar, go to Quotes & Agreements.

  2. Open the document you want to edit by clicking its pencil icon, or create a new one with Add.

  3. Click Edit with Page builder, if you have created the document with Closer the button will display Edit with Closer instead, in the top right corner. This button is available from all three tabs.

Inside the Page builder you build the document the same way you build e.g a landing page in myflow:

  • Click Add empty row to start a new section.

  • Click Add content inside a row to open the Add block panel, then pick a block. Blocks are grouped into Text, Image, Video, Function and Layout, and you can type in Search blocks to find one by name.

  • Click Add saved row to reuse a row you saved earlier.

Use the toolbar in the top right to finish up: Save as template stores the document as a template for future use, the eye icon previews it, Save saves your changes, and Exit returns you to the edit page.

Your content is saved and appears on the Overview tab of the document.

💡 Tip: Click the eye icon in the top right of the Page builder to preview your quote or agreement exactly as your recipient will see it.

⚠️ Important: Once at least one signee has signed a quote or agreement in myflow, the content is locked and can no longer be edited. Make sure everything is final before you enable signing.

How should I structure a contract for signing?

When you prepare a contract for signing in myflow Quotes & Agreements, you have two options:

  1. Put all terms in the contract body. Write the full text directly in the document with the Page builder. The signee accepts everything in the document body when they sign.

  2. Attach the documents as files. In the Page builder, click Add content and choose the block Button to attach the main agreement and any annexes as downloadable files.

⚠️ Important: If you attach files, state clearly in the contract text that the attached files form part of the agreement and are accepted on signing. Attaching a file on its own does not make it part of what the signee agrees to.

Add recipients to your quote or agreement

A quote or agreement in myflow needs at least one recipient before it can be signed. To add one:

  1. Open the document and click the Recipients tab.

  2. Click Add signee to add someone else, or Add myself to add your own details.

  3. Fill in the recipient. Start typing in Recipient name and pick one of your existing contacts from the suggestions, or type both the name and the email address manually.

  4. To be able to send the document by SMS, enter the recipient's number in Recipient phone.

  5. Click Add and send link by e-mail to add the recipient and send them the document straight away, or Add recipient to add them without sending anything yet.

The recipient now appears in the list on the Recipients tab.

💡 Note: If you choose Add recipient, nothing is sent. The dialog reminds you of this when no workflow is enabled on the document, and you then need to send the document yourself with Send link to [Name].

Each recipient in the list shows whether they have signed and whether they have opened the document, as two separate labels. From the recipient's row you can also:

  • Click Send link to the recipient to send them the document.

  • Click Complete details for the recipient to fill in missing information.

  • Click Add to CRM to save the recipient as a contact in myflow Contacts, if they are not already there.

  • Click Delete to remove the recipient from the document.

Enable or disable signing on your quote or agreement

The signing control for a quote or agreement in myflow sits on the Overview tab, in the panel on the right. You need at least one recipient before you can change it: until then the panel reads "Add recipients to enable signing".

  1. Open the document and click the Overview tab.

  2. Open the Signing dropdown in the panel on the right.

  3. Choose Signing disabled so recipients can view the document but not sign it, or Signing enabled so recipients can sign it.

  4. Click Save in the top right corner.

The Signing dropdown now shows the option you selected, and your recipients can sign as soon as signing is enabled.

⚠️ Important: Keep signing disabled until the content of your quote or agreement is final. Once a signee has signed, the content can no longer be changed.

💡 Note: Which methods your recipients can sign with, BankID or on-screen signature, is set for your whole myflow account under Settings > Quotes & Agreements settings > Enabled methods for signing, not per document.

Set up a workflow for your quote or agreement

A workflow in myflow Quotes & Agreements sends the email that contains the link to your quote or agreement, so you do not have to send it manually. To attach one:

  1. Open the document and click the Workflows tab.

  2. Each workflow you have created appears as a card. Click Enable workflow on the one you want to use.

  3. Click Show workflow to see what that workflow sends.

The enabled workflow is highlighted on the Workflows tab. To turn workflows off again for this document, choose the No workflow enabled card.

To change what a workflow sends, click Manage workflows at the bottom right of the tab. This opens Settings > Quotes & Agreements settings > Workflows, where you can add a workflow, edit the message and subject of each step, and set when each step is sent. You can personalize the text there with the tags [customer_name], [sender_name], [sender_email] and [sender_company].

Save, rename or delete your document

At the top of the edit page of a quote or agreement in myflow you will find:

  • Title — change the document title at any time in the Overview tab, then save.

  • Save — the green button in the top right corner saves your changes.

  • Delete document — click the ⋮ button next to Save and choose Delete document to remove the document permanently.

Your quote or agreement is now ready to be reviewed, signed and tracked from the Quotes & Agreements dashboard.
